These Terms of Service (“Terms”) govern your use of the AI Receptionist platform, website, and services operated by AI Receptionist (“we”, “our”, “us”) at aireceptionist.online. By creating an account or using our services, you agree to be bound by these Terms.
If you do not agree to these Terms, you must not use our services. We reserve the right to update these Terms at any time, and we will notify you of material changes via email.
2. Service Description
AI Receptionist provides an AI-powered virtual receptionist service for UK businesses. Our platform enables businesses to:
- Deploy an AI chat widget on their website to handle customer enquiries 24/7
- Capture leads and customer contact information
- Provide a hosted chat page accessible via a unique URL
- Manage conversations, leads, and bookings through a dashboard
- Train the AI with business-specific knowledge and customise its responses
3. Account Terms
- You must be at least 18 years of age to create an account.
- You must provide accurate and complete registration information. You are responsible for keeping your account credentials secure.
- You are responsible for all activity that occurs under your account, including actions taken by any employees or agents with access.
- One person or entity may not maintain more than one free trial account. Multiple accounts for the same business require separate paid subscriptions.
- We reserve the right to suspend or terminate accounts that violate these Terms or engage in fraudulent activity.
4. Free Trial
We offer a 14-day free trial to new users. During the trial period, you have access to the Starter plan features. No credit card is required to start a trial. At the end of the trial period, you must subscribe to a paid plan to continue using the service. Unused trial days are not carried over.
5. Billing & Payments
- All prices are listed in British Pounds Sterling (GBP) and are exclusive of VAT where applicable.
- Subscriptions are billed monthly and auto-renew at the end of each billing cycle unless cancelled.
- Payment is processed securely by Stripe. By subscribing, you authorise us to charge your chosen payment method on a recurring basis.
- Cancellation: You may cancel your subscription at any time from your dashboard. Cancellation takes effect at the end of the current billing period. No refunds are provided for partial months.
- Plan changes: You may upgrade or downgrade your plan at any time. Upgrades take effect immediately with prorated charges. Downgrades take effect at the next billing cycle.
- We reserve the right to change our pricing with 30 days' written notice. Existing subscribers will be given the option to continue at their current rate for the remainder of their billing cycle.
6. Acceptable Use
You agree not to use AI Receptionist to:
- Send spam, unsolicited messages, or engage in any form of harassment
- Upload or transmit malicious code, viruses, or harmful content
- Impersonate another person, business, or entity
- Collect personal data without proper consent or in violation of data protection laws
- Engage in any activity that is unlawful, fraudulent, or harmful
- Attempt to reverse engineer, decompile, or access the source code of our platform
- Use the service to provide medical, legal, or financial advice without appropriate disclaimers and professional oversight
We reserve the right to suspend or terminate accounts that violate this acceptable use policy without notice.
7. Data Processing
Our collection and processing of personal data is governed by our Privacy Policy, which forms part of these Terms. By using our services, you acknowledge that:
- You are the data controller for any personal data collected from your website visitors through our chat widget
- We act as a data processor on your behalf when handling visitor data
- You are responsible for ensuring appropriate privacy notices are displayed to your website visitors
- Chat conversations may be processed by AI models to generate responses. Conversation data is not used to train third-party AI models.
8. Service Level & Availability
- We provide the service on a “best effort” basis and aim for high availability, but we do not guarantee a specific uptime percentage for Starter plan subscribers.
- Professional and Business plan subscribers receive priority support and enhanced service level commitments as described in their plan details.
- We may perform scheduled maintenance with reasonable advance notice. Emergency maintenance may occur without prior notice.
- AI responses are generated automatically and may occasionally be inaccurate or incomplete. You are responsible for reviewing the quality of AI responses and adjusting the knowledge base as needed.
9. Intellectual Property
- Our IP: The AI Receptionist platform, including its software, design, branding, and documentation, is our intellectual property. You may not copy, modify, or distribute our platform without written permission.
- Your content: You retain ownership of all business information, knowledge base content, and branding materials you upload to the platform.
- Licence: By uploading content, you grant us a non-exclusive, worldwide licence to use, process, and display that content solely for the purpose of providing and improving our services.
- Conversation data: Conversations between your AI receptionist and website visitors are jointly controlled. We may use anonymised, aggregated conversation data to improve our AI models and services.
10. Limitation of Liability
To the maximum extent permitted by law:
- The service is provided “as is” and “as available” without warranties of any kind, whether express or implied.
- We do not warrant that the AI responses will be accurate, complete, or suitable for any particular purpose.
- Our total aggregate liability to you for any claims arising from or related to these Terms shall not exceed the total fees paid by you in the 12 months preceding the claim.
- We shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, data, business, or goodwill.
- Nothing in these Terms excludes or limits our liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded by English law.
11. Indemnification
You agree to indemnify and hold harmless AI Receptionist, its officers, directors, and employees from any claims, damages, losses, or expenses (including reasonable legal fees) arising from your use of the service, your violation of these Terms, or your violation of any third-party rights.
12. Termination
- You may close your account at any time from the Settings page in your dashboard or by contacting support.
- We may suspend or terminate your account at any time if you breach these Terms, with or without notice depending on the severity of the breach.
- Upon termination, your right to access the service ceases immediately. Your data will be retained and deleted in accordance with our Privacy Policy.
- You may request an export of your data before account closure. We will provide your data in a machine-readable format within 30 days of request.
13. Governing Law & Jurisdiction
These Terms are governed by and construed in accordance with the laws of England and Wales. Any disputes arising from or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
14. General Provisions
- Severability: If any provision of these Terms is found to be unenforceable, the remaining provisions shall continue in full force and effect.
- Entire agreement: These Terms, together with our Privacy Policy, constitute the entire agreement between you and AI Receptionist.
- Assignment: You may not assign or transfer your rights under these Terms without our written consent. We may assign our rights and obligations without restriction.
- Waiver: Our failure to enforce any provision of these Terms shall not constitute a waiver of that provision.
